Refund Policy
For registrations made through RUNXERA platform.
1. Introduction
This Refund Policy applies to event registrations submitted and paid through RUNXERA, unless a different refund policy is clearly stated by the respective event organizer on the event page.
RUNXERA may facilitate refund-related checks and payment verification, but event-specific refund decisions may remain subject to the respective event organizer's policy and approval.
2. Refund Request Window
A participant may request a refund by writing in to cancel the registration within twelve (12) hours from the transaction time.
Refund requests submitted after the twelve (12) hour period may be rejected, unless otherwise approved by the event organizer or required under a specific event arrangement.
3. How to Request a Refund
To request a refund, participants must contact RUNXERA or the respective event organizer using the official contact details provided on the website or event page.
The refund request should include the participant name, registration number, event name, payment reference, contact number, and reason for cancellation.
4. Admin Fee is Non-Refundable
Any admin fee, platform fee, handling fee, processing fee, payment gateway fee, or other service-related charges are non-refundable, even if the registration fee is approved for refund.
The final refund amount may therefore be lower than the total amount originally paid by the participant.
5. No-Show Policy
If a participant fails to show up on event day, such absence will be treated as a no-show.
No refund will be provided for no-show participants, and modification of event date, category, or registration details after the event day is not allowed.
6. Event Postponement, Cancellation or Changes
If an event is postponed, cancelled, rescheduled, relocated, or changed, the final decision on refund, transfer, replacement, credit, or other arrangement will be determined by the respective event organizer.
RUNXERA may assist with registration records or payment verification, but event-specific decisions remain the responsibility of the event organizer unless RUNXERA is clearly stated as the event organizer.
7. Event Organizer Approval
Refund approval may be subject to the event organizer's review, event-specific policy, payment status, registration status, and operational requirements.
Submitting a refund request does not automatically guarantee that the refund will be approved.
8. Duplicate or Incorrect Payment
If a participant believes that a duplicate payment or incorrect payment has been made, the participant should contact RUNXERA as soon as possible with the relevant payment reference and registration details.
RUNXERA may verify the transaction record before any refund or correction is processed.
9. Promo Code, Discount and Special Rate
If a registration was made using a promo code, discount, special rate, or voucher, the refund amount will be based on the actual amount paid after discount, excluding any non-refundable fees.
Promo codes, discounts, or vouchers may not be reusable after a registration is cancelled or refunded.
10. Payment Gateway and Bank Processing Time
Approved refunds may take time to process depending on the payment gateway, bank, payment method, or internal verification process.
RUNXERA is not responsible for delays caused by banks, payment gateway providers, incorrect participant information, or third-party processing systems.
11. Non-Transferable Registration
Registrations are not transferable to another participant, category, date, or event unless allowed by the respective event organizer.
Any approved transfer, amendment, or replacement arrangement may be subject to additional terms, fees, or deadlines set by the event organizer.
12. Chargeback or Payment Dispute
Participants should contact RUNXERA or the event organizer first before initiating any payment dispute or chargeback.
If a chargeback or payment dispute is raised, RUNXERA may temporarily suspend, cancel, or review the related registration until the matter is resolved.
13. Final Decision
RUNXERA and/or the respective event organizer reserves the right to approve, reject, or review refund requests based on payment records, registration records, event policy, timing of request, and operational circumstances.
